Microsoft To Do

Tasks on your To Do list become ideas, and Sayweek writes your to-dos onto another list, with a due date and a reminder.

If you keep your to-dos in Microsoft To Do, Sayweek works with it both ways: tasks on the list you pick become ideas, and on another list Sayweek writes down what you have to do. You switch each direction on separately.

Connect

  1. Open Settings → All integrations and click the Microsoft To Do card.
  2. Click Connect Microsoft To Do. Microsoft asks for one extra permission on your Microsoft 365 or Outlook.com account: Tasks.ReadWrite – read and write your own task lists.
  3. If this account is already connected for Outlook mail, calendar or OneDrive, those permissions are kept, and To Do uses the same Microsoft account.
  4. Allow it, then in the card's panel switch on what you want: Ideas from tasks, Sayweek to-dos or both.

Ideas from tasks

Switch on Ideas from tasks and pick your ideas list. By default it's the “Sayweek ideas” list – Sayweek creates it if you don't have one yet – but you can choose any existing list. Whatever you add to that list after switching it on becomes an idea in the ideas box about every hour, made from the task's title and notes.

  • Up to 10 tasks come over per hour; the rest follow the next hour.
  • Tasks shorter than 10 characters are left alone and stay on the list.
  • Before anything is stored, your client names, e-mail addresses and phone numbers are masked.
  • Sayweek then ticks the task off in your task app. A task is never imported twice, and Sayweek's own to-dos never turn into ideas.

On the ideas list, the Microsoft To Do mark shows where an idea came from.

Sayweek to-dos

Switch on Sayweek to-dos and pick a list for them – by default “Sayweek to-dos”, which is also created automatically. It can't be the same list as your ideas list. Sayweek puts what you have to do onto it: every to-do gets a due date, a short note and a link that takes you straight to the right place in Sayweek.

  • Approvals – e.g. “Approve 7 posts by Thu 12:00”: drafts of the coming 7 days, due one hour before the first one's time. Only people who are allowed to approve get it.
  • Videos – e.g. “Record a short video before Tue 10:00”: YouTube posts without a video and TikTok posts with nothing attached in the coming 7 days (up to 5).
  • Weekly interview – e.g. “Weekly interview – Fri”: appears two days before the interview invitation and stays until the end of that week, as long as it isn't done. Only if the weekly interview is switched on for you.
  • Reconnects – e.g. “Reconnect LinkedIn – expires in 7 days” (or “– expired”) when a social connection runs out.

Titles never contain client, brand or people's names – only counts, networks and times. Each to-do is created once and then updated in place (new count, new time), so you never get duplicates. Once it's done in Sayweek – posts approved, video added, interview finished, account reconnected – Sayweek ticks it off in your task app (every hour, or right away with Sync now).

Sync, test and switch off

  • Sync now runs both directions immediately – it pulls in new ideas and updates your to-dos.
  • Test connection (on the card) only reads the names of your lists, no tasks.
  • When you switch Sayweek to-dos off, Sayweek ticks off its open to-dos once and stops writing to the list.
  • The two switches are independent and both stay off until you switch them on: use only ideas, only to-dos, or both.

What Sayweek can and can't do

  • Everyone connects their own account. A connection is never shared with your teammates.
  • Sayweek only works on the two lists you picked; of your other lists it reads at most the names, for the list picker.
  • What we store: the encrypted access token, the chosen lists' IDs and names, and for each synced task only its ID and a short fingerprint – never the task's text. The text of an imported task is kept only as the (masked) idea.
  • Rows of finished to-dos are kept for 30 days; everything is deleted when you disconnect.

Disconnect

  1. Open the Microsoft To Do card on the All integrations page.
  2. Click Disconnect and confirm. Tasks already in To Do and ideas already in Sayweek stay.
  3. To revoke access at Microsoft too: for a work or school account at myapps.microsoft.com, for a personal account at account.live.com/consent/Manage.
